Minutes of 2018 AGM and Public Meeting

2018 Accounts and 2019 Budget

Proposal to revise the SCF Constitution - the SCF Management Committee is seeking to make some minor changes to the adopted constitution in order to facilitate Forum business.

(1) our data protection and equal opportunities policies need to reflect changes in UK legislation. Currently they sit within the Constitution and so cannot be updated without holding an AGM or EGM. It is proposed to take the detail of the policies out of the Constitution into separate documents so that they can be updated in a timely fashion. The Constitution will still state that we have these policies and point to the most recent version of the documents.

(2) Our original constitution set the quorum for public meetings at too high a threshold and, as a consequence, our 2018 AGM was not quorate. It is proposed to reduce the number of formally registered members needed to make a quorum in order to ensure that public meetings can make decisions .

(3) It is proposed to increase the size of the Management Committee by an extra 2 new ordinary members (from 4 to 6). So much is going on that we need extra people and skill sets to help out !

Election of Management Committee - ordinary members of the SCF Management Committee are elected for a year’s term and are eligible for re-election. If you are interested in a position on the committee, please do contact us.

The Common Plan - adopted by Southampton City Council in December 2018.

Note: As the meeting was not quorate, we have had to postpone the formal AGM proceedings until later in the year.

We wish to thank the Hilton Doubletree Hotel for donating to us the use of their facilities for this meeting.
